1. Introduction

This Privacy Policy explains, in general terms, how personal information submitted through the HG IT Solutions main website may be collected and handled when visitors contact us or request access to a documentation resource. The policy is intended to provide clear information about the website's current data-handling practices. It also describes optional website analytics used only after explicit consent.

This policy does not create a representation that HG IT Solutions is incorporated, registered, certified, or licensed in any particular jurisdiction.

2. Scope

This policy applies to the current HG IT Solutions main corporate website and its current enquiry and documentation-request functions. A separate WordPress blog may operate under its own policies. A future Customer Project Portal is planned as a separate authenticated application and is not covered as a current website service under this version of the policy.

3. Information We May Collect

3.1 Contact enquiries

  • Full name.
  • Company or organization name.
  • Email address.
  • Subject and enquiry message.
  • Phone number and phone-country code, when voluntarily provided.
  • Limited page or service context associated with the enquiry.

3.2 Documentation access requests

When a visitor requests access to a documentation resource, the website may collect the visitor's name, business email address, company or organization name, request purpose/message, and the identity of the requested resource.

3.3 Technical information

The current application code does not explicitly record IP addresses or User-Agent information in the contact submission handler. Website hosting, network, security, or email infrastructure may nevertheless process technical connection or delivery information as part of normal service operation.

4. How Information Is Collected

Information is primarily collected when a visitor voluntarily submits the Contact Us form or the Documentation Request Access form. Free-download documentation currently does not require a visitor to submit a form.

5. Why We Use Submitted Information

Information submitted through the website may be used as reasonably necessary to:

  • receive, review, and respond to enquiries;
  • understand the service or technical subject of an enquiry;
  • review documentation access requests and communicate regarding those requests;
  • maintain reasonable website and communication security controls;
  • support follow-up communications requested or reasonably expected in connection with an enquiry; and
  • meet applicable legal or regulatory requirements where relevant.

6. Email Processing and Service Providers

The current website sends contact and documentation-access requests through an authenticated email delivery workflow to a configured business mailbox. This means submitted information may be processed by service providers supporting website hosting, network delivery, and email transmission or mailbox operation.

HG IT Solutions does not state that submitted information is never processed by another service provider.

7. Storage and Retention

The website application covered by this policy does not currently contain a visitor/customer database or a durable application store for contact submissions. Enquiries and documentation requests are delivered through email, and copies may therefore exist within the relevant email systems, mailboxes, backups, or operational records.

Personal information should be retained only for as long as reasonably necessary for the purpose for which it was collected, or as otherwise required or permitted by applicable requirements. A fixed mailbox retention period has not yet been confirmed and is therefore not stated in this policy.

8. Cookies, Analytics and Browser Storage

HG IT Solutions uses Google Analytics 4 only after you select Accept analytics. Until then, the website does not load the Google Analytics tag or send analytics requests, including cookieless pings. Rejecting analytics does not prevent contact enquiries, documentation access requests or ordinary browsing.

After acceptance, Google processes analytics identifiers, page visits and technical browser/device information to help us understand use of the website. Analytics requests disclose connection information to Google. Our page-view code excludes URL query strings and fragments and does not send contact or documentation-request form contents. Advertising storage, advertising personalization and Google signals are disabled in the website integration.

Your choice is stored in this browser for 180 days. Use Cookie settings on any page and select Reject analytics to withdraw consent. Withdrawal stops future collection and removes accessible analytics cookies but does not automatically delete data already collected. The Cookie Policy describes the preference storage and analytics cookies. Google also explains its processing at https://policies.google.com/privacy and https://policies.google.com/technologies/partner-sites.

Analytics data retention is controlled by the Google Analytics property settings and is separate from the browser-cookie lifetime. Hosting infrastructure and external websites may process information independently of this analytics choice.

9. Free Downloads and Request-Access Resources

Certain resources are intentionally provided as public free downloads. Other resources may be presented as request-access items. Under the current implementation, a request-access submission sends a request for manual review; it does not automatically create an account, grant authorization, issue a download token, or send a private document as an attachment.

10. External Links

The website may contain links to external destinations such as the HG IT Solutions blog, WhatsApp, email or phone services, and other third-party websites. Following an external link causes the visitor to interact with the destination service, whose privacy practices may differ from those of the main website. A simple outbound link does not, by itself, mean that form information is automatically transferred to that destination.

11. Information Security

The website uses reasonable technical and operational measures appropriate to its current functions, including server-side input validation, origin checks, submission throttling, a honeypot control, bounded request handling, generic error responses, and configured encrypted email transport options. No internet-based system can be described as risk-free, and these measures should not be interpreted as an absolute security guarantee.

12. Your Privacy Requests and Rights

Depending on the applicable law and the circumstances of the processing, individuals may have rights relating to information about processing, access to personal information, correction or updating, obtaining a copy in an appropriate format, withdrawal of consent where consent is the applicable basis, and deletion or destruction when the information is no longer required, subject to applicable exceptions and lawful retention requirements.

A person wishing to raise a privacy question or request should contact HG IT Solutions using the contact details published on the website.

13. Children and Minors

The current website is intended as a corporate and professional IT-services website and does not provide a child-directed account or service in the current implementation. The website does not currently collect age information.

14. International Processing

The website is accessible internationally. Hosting, email and analytics providers may process information in countries other than your own. When you opt in to analytics, Google processes the resulting analytics data under its applicable terms and privacy information. The main website source code does not establish provider processing locations.

15. Marketing Communications

The main website application covered by this policy does not currently contain a newsletter subscription, advertising integration, remarketing pixel, or marketing-email signup workflow. A contact enquiry should not automatically be treated as a subscription to marketing communications. If marketing functionality is introduced later, this policy and any required consent or preference mechanism should be reviewed before deployment.

16. Future Customer Portal

HG IT Solutions may develop a separate Customer Project Portal in the future. It is not treated as a current public website service under this policy. Before any public portal launch, its authentication, authorization, customer-data isolation, private document storage, retention, security, and privacy terms should be assessed separately and the relevant notices updated as appropriate.

17. Changes to This Privacy Policy

This policy may be updated when website functionality, service providers, operational practices, or applicable requirements change.
